Volunteer Information

It takes a village, to run a swim meet. All families are required to volunteer to work in some capacity at swim meets. The requirements are as follows;

  • One swimmer per family: 3 sessions during the season.
  • Each shift you do not work you will be charged $100.00 of the $300.00 Volunteer deposit. So PLEASE be courteous to other volunteers and fill your shifts.
  • We need your undivided attention while you're working. Swimmers MUST stay in the bullpen area. Siblings of swimmers can not work with you, and need to be supervised by an adult when you work and during the meet. Please plan accordingly.
  • Please check in with a board member and then report to assigned locations.
  • Volunteers are expected to work their complete shift. If you must leave early for an urgent problem,let the people you're working with and the volunteer coordinator know so we can have a back up volunteer to replace you.

PARENTS

1. Kids STAY in the bullpen until they swim all their events. If they come to visit you, send them back to the bullpen.

2.Only team members who are scheduled to swim in the meet may enter the pool, and only at designated times. No other children are allowed to enter the pool in any way during the meet. Again, a GCSL rule.

All families are encouraged to choose their own jobs. If you do not sign up for jobs. The volunteer coordinator will sign you up for a job. We can not hold a swim meet without the required amount of volunteers.

Families that only have Dolphin Pups are required to volunteer for a minimum of (2) shifts during either Team Bonding Events. Those positions are slated for parents who only have Dolphin Pups since they do not participate in meets

Bullpen & Stagers - Volunteers that work this job organize the swimmers for their events.Swimmers are typically staged 3-5 events in advance of their swims. These volunteers are simply organizers. It is ultimately the responsibility of the swimmers/parents to make sure they stay in bullpen area so they are easily found. Volunteers may announce missing swimmers once, but will move on if no swimmer is located. Please be in position by 5:40.

Concessions - Sell food items to swimmers and families at practice & home meets.

Help set up concession stand & assist with sales - Starting time is 7:00 PM for practice & 5:30 PM for Home Meets (or at a time indicated by Head of Concessions.)  Help clean up concession stand & put away inventory at the end of practices and meets.

Meet Set Up - Arrive at the pool no later than 5:00 PM or designated time to set out chairs, banners, tables,  etc.

Meet Clean Up - Stay after the swim meet to help take down flags, lane ropes, collecting trash, putting furniture back in place, and anything else determined by volunteer coordinator.

Ribbon Volunteer - Responsible for placing name labels and award section and distributing ribbons to file box by Monday after each swim meet.

Runner - This job only happens at home meets. These volunteers collect all time sheets from the timers. Then the volunteers deliver the sheets to scoring room. Please be in place by 5:40

Timers - (Paired with a timer from the other team) Timers wear two stopwatches, and time the swimmers. Operation of a stopwatch includes pushing the start and stop button and clearing the stopwatch. At home meets, timers are required to record the times on time sheets. They should ask the child "What is your name?" before they enter the pool.Timers should only record a time after starting the next race with 2nd watch. Be in position by 5:40

Back-up timers- Are utilized if a timer misses a start, the back-up timer will be called. (Raise your hand and call out "Back-up timer". They will come over to your lane and stop the stopwatch when the swimmer in your lane touches the wall. You then record the time off the back-up timers watch. Be in position by 5:40

Lead Timer- Is on pool deck to help support timers. They also will wear 2 stopwatches.

Swimmer Check in- Check in swimmers, provide them with their events, and help write events on their arms if needed. Please arrive by 5:00

Volunteer Check-in- Check-in volunteers, provide them with necessary supplies and lanyards, direct them to their positions. Please arrive by 5:00

Starter - Responsible for running the events during the swim meet, the starter must also be a stroke & turn judge. Must attend both training sessions. Call events and start heats of each stroke. *Certification required* Please arrive by 5:00

Stroke/Turn Judges - Judges swimmer’s strokes, turns, and finishes; disqualify swimmers who do not abide by USA Swimming Rules and Regulations. *Certification required. Please arrive by 5:00

Photography/Videography -Take action photos and videos to post to teams social media

Backup Meet Volunteers - You will time, work the bullpen, or perform any other duties requested by the Volunteer Coordinator running the meet. Please be in position by 5:40
